What data we process

Data from the enquiry form

When you submit an enquiry via the contact form, we process:

• the type of enquiry, institution and country;
• your name and job title;
• email address and, if provided, phone number;
• the selected specialties and the free-text message;
• the time of submission and the IP address from which it was sent.

The enquiry reaches us as an email. No database is maintained on the website.

Data on page access

The hosting provider's server logs the usual technical data — the requested address, time, volume of data transferred, browser type and IP address. These logs are used for security and to detect disruptions.

Cookies

This website does not place cookies and does not use tools for analytics, tracking or advertising. Fonts are loaded from our own server, not from a third-party provider — so no IP address is transmitted to third parties when a page is opened.

Purposes and legal basis

• Processing the enquiry — taking steps at your request prior to entering into a contract, Art. 6(1)(b) GDPR.
• Security and functionality of the website — legitimate interest, Art. 6(1)(f) GDPR.

Retention period

Enquiry correspondence is kept for as long as it is needed for a reply and for any follow-up questions, and thereafter — [retention period — to be determined; typically 6 to 24 months]. Where an enquiry leads to a contract, the statutory retention periods for commercial and tax records apply. Server logs are retained for [retention period at the hosting provider — to be verified].

Recipients

Data is transmitted to a manufacturer (VirtaMed AG, Switzerland; Mentice AB, Sweden) only when this is necessary for your specific enquiry — for example when requesting a demonstration, a technical specification or a warranty case. Switzerland is a country with a European Commission adequacy decision.

Your rights

With regard to your personal data you have the right to:

• access to the data we process;
• rectification of inaccurate data;
• erasure when the legal basis for processing no longer applies;
• restriction of processing;
• data portability;
• objection to processing based on legitimate interest.
